If you are a large organization ensure that this information is recorded in a place where others will have access to it. If you are a small organization then the business owner should indeed keep a copy of these records in a safe place.

Step #2: Review the key contacts who have been assigned to your account

Be sure to record the key contacts who have been assigned to your account. It is important to periodically check and review this information. As people come and go and roles change you will want to insure that this information remains accurate and up to date. The main information to track includes registrant info, administrative info and technical info.

Step #3: Who should I grant FTP access to my domain?

FTP access allows the granted user access to specific directories hosted on your server or hosting account control panel. Once given access to these directories the authorized user will be able to upload and delete the files contained there if they are granted read and write access. Therefore, it is very important to insure that anyone who has been granted access also has their access revoked if required. Especially if it is someone who is no longer affiliated with your organization.

Keeping this information stored digitally is fine however, I would also recommend printing out this information and keeping it in a secure but accessible location. This way, in the event the digital records are deleted or corrupted you can have a reference to fall back on.

This is a good question. If the funds are available and you know that this domain is a keeper, you should register that domain for as long as you can. You will be notified by your registrar well in advance that your domain will soon be expiring, which should give you sufficient time to renew it. However, for SEO (search engine optimization) purposes the longer your domain name is registered for the better it is. In fact, the tenure of your domain name on the web is a key factor that Google and other search engines will take into consideration when ranking your site.
